Job Summary

The Court Clerk I position performs a variety of clerical, administrative, and customer service duties in support of the daily operations of the Municipal Court. Responsibilities include maintaining accurate court records, preparing and processing legal documents, collecting and recording fines and fees, coordinating court calendars, and providing information to the public regarding court procedures. The position requires a high level of organization, attention to detail, and the ability to interact professionally with judges, attorneys, law enforcement, and the general public.

  •  Accurately enter traffic citations, city ordinance violations, and court dispositions into court management software.
  • Ensure proper processing and timely distribution of court documents to appropriate agencies and departments.
  • Attend all Municipal Court sessions, including those held at the jail, as required.
  • Receive, sort, and process incoming mail, including attorney correspondence and payments for fines.
  • Prepare and file Failure to Appear (FTA) warrants accurately, including document copying and recordkeeping.
  • Receive and process court fine and probation payments in person and via web-based systems.
  • Maintain and update the jail tracking spreadsheet daily, including booking and release data.
  • Validate active GCIC warrants on behalf of the City of Conyers with accuracy and attention to detail.
  • Provide assistance to the public at the front counter and over the phone regarding court-related inquiries and procedures.
  • Coordinate with other departments, including the probation office, law enforcement, and legal representatives, to ensure accurate case handling and information flow.

Minimum Qualifications

Education: Completion of a standard high school diploma, GED or equivalent from a regionally or nationally accredited school.

Licenses(s): Possession of a valid State of Georgia Driver's License.

Experience: A minimum of six (6) months to one (1) year of general clerical experience, preferably within a Municipal Court setting.

Certification(s): Municipal Court Clerk certification is preferred but not required.

Any combination of education, training, and/or experience that provides the required knowledge, skills, and abilities to perform the essential duties of the position will be considered. 

Knowledge, Skills and Abilities: 

Knowledge of:
•    General office procedures, practices, and equipment.
•    Basic legal terminology and court procedures relevant to municipal courts.
•    Recordkeeping and filing systems, both electronic and paper-based.
•    Customer service principles and practices.
•    Basic math and accounting principles as they relate to court fines, fees, and payments.
•    Confidentiality laws and regulations, including the handling of sensitive court documents.

Skill in:
•    Performing accurate and efficient data entry and record maintenance.
•    Communicating effectively, both verbally and in writing, with the public, attorneys, law enforcement personnel, and court officials.
•    Operating standard office equipment including copiers, fax machines, scanners, and computers.
•    Using software applications such as Microsoft Office Suite and court case management systems.
•    Handling multiple tasks simultaneously and meeting deadlines in a fast-paced environment.
•    Providing courteous and professional customer service in sometimes stressful situations.
•    Must be able to type a minimum of 45 words per minute.

Ability to:
•    Interpret and apply municipal court policies, procedures, and applicable laws.
•    Maintain composure and professionalism when dealing with difficult or emotional individuals.
•    Maintain accurate records and prepare reports as required.
•    Work independently and as part of a team with minimal supervision.
•    Maintain a high level of confidentiality and discretion in handling court matters.
•    Adapt to procedural or technological changes within the court system.

While performing the duties of this job, the employee is regularly required to sit for extended periods, use hands to handle or feel objects, and communicate effectively through speech and hearing. The role frequently involves standing, walking, stooping, kneeling. The employee may frequently lift and/or move up to 10 pounds. 

Working Conditions

Work is primarily performed in an office or courtroom environment. The employee must be able to remain at a desk or workstation for extended periods while performing administrative and clerical duties. Occasional interaction with the public, attorneys, and law enforcement may require adaptability and professionalism in a fast-paced, sometimes high-stress setting.
